Document Workflow Automation

Your proposal is fine. It's four days late.

Proposals, quotes, contracts, and approvals that route themselves — so the deal never sits waiting on a signature nobody chased.

What we automate
The basics

What is document workflow automation?

Document workflow automation is software that generates, routes, tracks, and files your business documents automatically — proposals, quotes, contracts, and approvals — moving each one to the next person or system without anyone carrying it there.

Document workflow vs. document management

Document management is where files live. Document workflow is how they move. Most businesses have solved storage and not movement, which is why the contract is easy to find and still unsigned.

The documents we automate

Proposals, quotes, contracts, and approvals — built, routed, chased, and filed.

Proposal generation and delivery

Built from a template with your data already in it. Out the same day, tracked so you know when it was opened.

Quote building and approval

Line items pulled from your pricing, routed for internal approval if it needs one, sent without a rebuild.

Contract routing and e-signature

To the right people, in the right order, with reminders that don't require you to be the one nagging.

What we build in

We work with what you have where it's workable. If your e-signature tool is fine, keep it — the problem is almost never the signing, it's everything either side of it.

We build in whatever your industry already runs on

Every industry has settled on its own tools, and the one your clients expect to see matters more than the one we'd pick. A contractor sending a change order and a firm sending an engagement letter are rarely on the same software, and neither should have to move. We build around what's normal for your work.

Your documents stay where you already keep them

Usually Google Drive, or whatever equivalent you're already paying for. We don't move your files into a new system you'd have to learn — the automation reaches into where the documents already live.

Where most document tools stop

E-signature tools are good at signing. Proposal tools are good at building the document. Almost none of them handle the part that actually loses deals — noticing that nothing has happened for four days, and doing something about it. That gap is most of the work.

What changes after

Proposals out the same day

Usually the same hour.

Nothing waiting on someone's memory

The follow-up happens whether or not anyone remembered to feel guilty about it.

Faster yes, fewer lost deals

Speed is the part of this that shows up in revenue.

Process

How we build it

The same three steps on every build.

01 · Map

Every document that touches a customer, and where each one currently stalls.

02 · Build

Templates, triggers, routing, and reminders. In the tools you already use where we can.

03 · Tune

Monthly. Your pricing changes, your templates change, your approvals change.

The real cost
Where it breaks

The deal that died in an inbox

Nobody loses a deal on purpose. They lose it to three days of nothing.

Proposals that take three days to go out

Not because they're hard. Because the last one has to be found, the numbers have to be swapped, someone has to check it, and every one of those steps waits for a person who has other work.

Contracts waiting on one approval

It's sitting with whoever's out this week. The customer, who was ready to sign, is now doing the math on whether they want to.

Quotes rebuilt from scratch every time

The same twelve line items, retyped, with a new opportunity to get one wrong.

The signature nobody followed up on

You sent it. They meant to sign it. Neither of you brought it up again and it just faded.

Paperwork is a customer experience problem

Every other page about this topic will tell you documents are an efficiency issue. They're not. Efficiency is the internal symptom. The customer is having a different experience.

Stop losing deals to paperwork

Thirty minutes, no pitch. Bring your slowest document and we'll show you where the days are going.

Document workflow automation FAQs

Straight answers about how document workflow automation actually works.

What does document workflow automation include?

Software that moves your documents through their lifecycle automatically — generated from templates, routed for approval and signature, chased if they stall, and filed when they're done.

How is it different from document management software?

Management is storage. Workflow is movement. Storage tools organise what already happened; workflow tools make the next thing happen.

Do we have to change our e-signature tool?

Almost never. Most connect fine. If yours genuinely can't, we'll tell you — but that's rare and we won't make it a reason to sell you something.

Can it handle approvals across multiple people?

Yes, including conditional chains — different routing by amount, type, or client. Under a threshold it goes straight out; over it, it goes to you first.

How long does setup take?

First working system is usually inside two weeks, then a period running alongside your current process before you rely on it. The honest variable is you — if we're waiting on templates or access, that's where the time goes.
